Keep the tools you already have. Remove the person in the middle moving data between them.
This is where most people should start. Nothing gets replaced, nobody has to learn a new system, and it lands quickly. If somebody in your office spends four hours a week moving information between tools, that is most of a working month every year doing something a computer could do overnight.

For the part of the job that no product handles the way you actually do it.
Every business has one process that is genuinely its own. The way jobs get priced. Who signs off before work starts. The order things have to happen in so nothing gets missed. Off-the-shelf software gets you most of the way, and the rest ends up in a spreadsheet and one person's memory.
That last stretch is where the mistakes live. A custom system covers it, runs in a browser, works on a phone in a truck, and nobody installs anything.

The big CRMs are not bad software. They are software for a large sales organisation with somebody whose job is configuring it. You end up with a nine-stage pipeline you do not use, twenty fields left blank, and a system the team quietly stops opening because it is faster to just remember.
